Resolve Application Validation Alert – Signature Does Not Match Selected Signatory

This article explains why an Application Validation Alert appears when the digital signature does not match the selected signatory, and provides step-by-step actions agents should follow to identify and resolve the mismatch.

Alert: Review the Application Validation Alert

When the validation alert fires, a red banner appears at the top of the application. It will read:

Application Validation Issues

There are 1 issues raised;

1. The signature on the digital application does not match the selected signatory.

⚠ Note: This alert means the application cannot proceed in its current state. You must investigate before taking further action.

Confirm What Triggered the Alert

The alert is triggered when the email address that signed the application does not match the selected signatory chosen from the CIPC-pulled dropdown list.

This typically occurs in one of these scenarios:

ⓘ Tip: The CIPC dropdown pulls director names from official records. The name selected must be the same person whose email address was used to sign.

Determine the Root Cause

Use the information gathered in Steps 4 and 5 to identify which root cause applies:

Action: Correct the Issue

If the wrong person signed or the wrong signatory was selected, you must decline the application and start fresh. There is no in-place edit option once a signature mismatch is detected.

Resolution Checklist

Decline the application in the workflow.

Reinitiate a new application for the applicant.

Send the application back to the applicant to complete correctly.

At Step 6, reassign the agreement to the correct authorised signatory.

Confirm that supporting documents (proof of identity, board resolution if applicable) are uploaded at Step 7.

Once the correct signatory completes the new application with matching details, the validation alert will not reappear.

⚠ Important: Do not attempt to proceed with a mismatched application. Declining and reinitiating is the only valid resolution path.

Frequently Asked Questions

❓ Why can't the system accept the signature?

The digital application requires the selected signatory (from CIPC records) to be the exact same person who signs electronically. The system matches the name chosen in the dropdown against the email address that completed the signing — if they don't correspond to the same individual, the signature cannot be accepted.

❓ Can someone else sign with authorisation?

Yes — provided they upload a valid Board Resolution at Step 7 that explicitly grants them authority to sign on behalf of the entity. Without this document, only a CIPC-listed director may sign.

❓ What if the wrong signatory was selected from the dropdown?

You cannot edit the selection after signing has occurred. Reassign the application at Step 6 to the correct person and restart Step 7. If the application has already been incorrectly signed, decline it and reinitiate a new application.
