Navigating the Workflow Overview Section

The Workflow Overview section is your central hub for tracking any credit application — you can see exactly where it is in the process, who it is currently sitting with, and what actions are available at that stage. This guide walks you through how to find, search, and interpret the Workflow Overview.

Where to find the Workflow Overview

The Workflow Overview section is located in the left-hand navigation menu under the Fabric Workflows group. This is where you can locate any credit application and see exactly where in the workflow process it currently sits.

Navigate to: Left Menu → Fabric Workflows → Workflow Overview

Searching for a workflow

Once inside the Workflow Overview, use the Search bar at the top of the left panel to find the workflow or credit application you are looking for.

Once you have found it, click on the workflow in the list — the full details will load on the right-hand side of the screen.

What the Overview tells you

Once a workflow is selected, the right-hand panel provides you with the following key information at a glance:

What you seeWhat it answers

Action ButtonsWhat actions can I perform at this stage?
Assigned ToWho is the workflow currently sitting with?

Understanding the action buttons

The blue action buttons at the top of the right-hand panel give you the tools you need to manage a workflow. Below is what each button does:

? Open

This is the action button used for approving or declining a recommendation. It will only be accessible to users who belong to the designated team for the current stage. If you are an approver (i.e. part of a Final Approval Team), this button lets you go in and action the application.

☷ Full Application

Allows you to view the full version of the credit application, including all detail and documents attached. The best time to use this is when the application is going into final approval and has its recommendation and report attached. The Credit Bureau report can also be found at the very bottom of this view.

↻ Reassign

This button is only available before a customer submits their credit application. Once submitted, team members are pre-assigned and the application cannot be re-assigned.

⛔ Cancel

You may cancel any application that has not yet reached the final approval stages. Once an application reaches the final approval stages, it can only be declined — not cancelled.

Using Reassign and Cancel

↻ Reassign — when to use it

The Reassign button is extremely useful and can be used any time before Final Approval 1. Once an application is with a certain team at your organisation, it cannot be re-assigned. Common scenarios where Reassign is helpful:

  • You entered the incorrect email address when initiating the workflow
  • You need to send the application to a different person
  • The applicant says they did not receive the application email — re-assigning to the same email address will push it back to the top of their inbox

⛔ Cancel — when to use it

The Cancel button can be used to cancel any credit application, provided the application has not yet gone past the customer stages. Applications that have reached the Final Approval stages cannot be cancelled — they can only be approved or declined via the Open button.

⚠ Note: Applications in Final Approval cannot be cancelled. Use the Open button to decline the application at that stage instead.

Assigned To, Requestor & Customer Details

Directly below the action buttons, you will find two tabs — Overview and Assigned To. Scrolling down further reveals two additional important sections:

Assigned To tabWho is currently responsible for the application at this stage. Only users in the selected department will see the application.
Requestor DetailsThe details of the person who initiated (sent out) the workflow.
Customer DetailsDetails of the applicant the workflow was sent to — contact person, email, and contact number.
