Track Workflow Stages for Limit Review Applications in Trade Shield

This article explains how to track the workflow stages for a Limit Review in Trade Shield. It outlines each stage, responsible parties, and expected time frames. It is intended for end-users and agents reviewing or updating existing customer limits.

Prerequisites

  • Access to Trade Shield.
  • Permission to view Workflow Overview.
  • A submitted Limit Review request.
  • Supporting documents (where applicable), such as financial statements or bank statements.

How to Access Workflow Overview

  1. Open Workflow Overview in Trade Shield. The page displays all active Limit Reviews and their current workflow stages.
  2. Locate your Limit Review application in the list. Each application card shows the status, stage, and assigned reviewer.
  3. Review the workflow stages your Limit Review may progress through (detailed in the sections below).

Stage 1 – Review Recommendation (Initiation Stage)

This is the starting point for all Limit Review requests.

  • A requestor initiates the review but does not select “Submit” during creation.
  • Trade Shield evaluates whether more applicant data is required.
  • Responsible party: Your organisation (Credit Controller)
  • Expected time frame: Organisation-dependent
  • If no additional information is required, the Limit Review will skip Stages 3 and 4 and move directly to Limit Recommendation.

ⓘ Tip: If no additional applicant information is needed, Stages 3 and 4 are skipped automatically — the review moves straight to Stage 5 (Limit Recommendation).

Stage 2 – Waiting for Applicant to Fill Out Application (Request to Complete Information)

Occurs only if applicant information is required.

  • If the system determines additional financial or supporting documents are needed, the review is sent to the applicant.
  • The applicant must complete the required fields and upload documentation.
  • Responsible party: Applicant
  • Expected time frame: Unknown
  • Applications auto-cancel after 30 days if not completed.
  • Once submitted, the review proceeds to Stage 3 – Application Verification.

⚠ Note: Applications that remain incomplete for 30 days will be automatically cancelled. Follow up with the applicant before this deadline.

Stage 3 – Requesting More Data (Application Verification)

Trade Shield verifies supporting documents submitted by the applicant, including:

  • Signed statements
  • Financials
  • Bank statements
  • Responsible party: Trade Shield
  • Expected time frame: ~30 minutes. If exceeding 2 hours, contact support@tradeshield.ai
  • If validation fails, the review is returned to Request to Complete Information so corrections can be made.
  • In Fabric, this stage displays as End-Application Verification.

ⓘ Tip: If the review returns to Stage 2, ask the applicant to upload the corrected or missing documents and resubmit.

Stage 4 – Bureau Report Request (Research Report)

Only applies if statements or financials are supplied.

  • Trade Shield processes the review and creates the Research Report.
  • The completed report is attached to the application.
  • Responsible party: Trade Shield
  • Expected time frame: ~30 minutes. If exceeding 2 hours, contact support@tradeshield.ai

Stage 5 – Limit Recommendation

  • Trade Shield processes the applicant’s information and provides a recommended credit limit.
  • Responsible party: Trade Shield
  • Expected time frame: ~30 minutes. If exceeding 2 hours, contact support@tradeshield.ai

ⓘ Tip: Once the recommended limit is generated, the application moves automatically to Stage 6 for final approval by your organisation.

Stage 6 – Final Approval (Levels 1–5)

  • The application awaits approval from your organisation’s internal approval team.
  • Responsible party: Your organisation
  • Expected time frame: Varies by internal processes
  • To view who is responsible, click Assigned To in the Workflow Overview.

ⓘ Tip: Approval levels (1–5) are configured by your organisation. Contact your internal Credit or Approval Team if you are unsure who needs to sign off.

Troubleshooting

? Symptom: Limit Review is stuck in a stage longer than expected

Cause: Document validation or internal approval may be delayed.

Resolution:

  • Compare the delay to the stage’s expected timeframe.
  • If Trade Shield stages exceed 2 hours, contact support@tradeshield.ai.
  • For internal approval delays, follow up with the relevant team.

? Symptom: Application returns to “Request to Complete Information”

Cause: Validation failed during Application Verification.

Resolution:

  • Ask the applicant to upload the corrected or missing information.
  • Re-submit the review once complete.

? Symptom: No assignee appears for the current stage

Cause: The stage may not be fully active, or assignment is handled internally.

Resolution:

  • Click Assigned To in Workflow Overview.
  • If no assignee appears, contact your internal Credit or Approval Team.
